Description

Beloit College is seeking a program coordinator that will provide programmatic and operational support for the Upward Bound Program. The Upward Bound Program is responsible for generating the skills and motivation necessary for low income, first generation students to enroll and persist in an educational program beyond high school. This position is grant funded and continuation of position is dependent upon grant renewal.

The Program Coordinator is a part time position working 20 hours a week. 

Characteristic Duties and Responsibilities:

  1. Manage participant and program records (both paper and electronic) in compliance with federal grant guidelines. Oversee completion of participant files especially during recruitment periods using appropriate software.
  2. Compile statistical data and prepare the annual performance report (APR) with assistance from the Upward Bound staff.
  3. Prepare requisitions, work requests, printing requests, and follow-up on purchase orders.
  4. Process most financial transactions - following federal, state and college guidelines - and maintain bookkeeping of these transactions for the Upward Bound Program. Each person on the team is responsible for processing and filing their own credit card statements monthly.
  5. Serve as a liaison with Accounting regarding financial transactions, account number changes, credit card bills, cash advances, and any other accounting-related matters.
  6. Participate in the budget process and audits of various kinds.
  7. Publish a monthly participant and budget snapshot to forecast remaining spend and participant levels
  8. Participate in grant preparation, in particular, regarding student data and budget information.
  9. Schedule classrooms, audiovisual aids, meeting rooms, travel, and other logistics for program students and staff.
  10. Field telephone calls, take messages, screen questions, answer questions when appropriate, and identify appropriate resources.
  11. Maintain Upward Bound website.
  12. Coordinate paperwork of summer staff and serve as a liaison with Human Resources regarding this information.
  13. Assist in coordination of Senior Signing Day including event logistics, gifts and food
  14. Maintain a system of records and files for such items as letters, reports, alumni contact information, and all other materials pertinent to the operation of the department.
  15. Maintain adequate office supplies such as stationery, envelopes, requisitions, computer supplies.
  16. Perform other similarly-related duties as assigned.

Credentials and Experience:

  1. Associate’s degree preferred, in business, accounting or a related field.
  2. Previous office/business experience required; proficiency working with databases, spreadsheets and other record-keeping software.
  3. Some understanding of working with grant-funded programs and experience working with youth preferred.
