Academic Reserves
Policies and Procedures
To assist you with planning for the
term ahead and to assist us in providing timely access to materials for your
students, here are the Fall 2008 reserve deadlines:
1. DEADLINE
for ORDERING RESERVE materials that the library does not own: Monday,
July 7, 2008
If you submit your orders to the Library by July 7 and:
-mark your orders "needed for reserve", add the course number and title and
section numbers, and
-submit orders through normal channels (you may use the Library
Purchase Request Form),
Then the Library will ensure that the needed item(s) is ordered, paid for, cataloged,
and on reserve by the first day of classes OR you will be notified that it is
not immediately available.
If you miss the July 7 deadline,
Library staff will order the materials as expeditiously as possible AFTER the
orders received by the deadline. We are unable to ensure, though, that they
will be received, cataloged, and on reserve by the first day of classes.
2. DEADLINE
for PLACING MATERIALS ON RESERVE: Monday, August 4, 2008
If you bring your Fall 2008 reserve materials (photocopies, Library-owned materials,
or materials from your personal collection) to the Library with the completed
Academic
Reserves form by August 4,
then the Library will ensure that these materials will be on reserve for your
course(s) by the first day of class. The early due date is necessary given the
high volume of materials to be processed for reserve.
If you miss the deadline, Library
staff will process your reserve materials as expeditiously as possible on a
first come, first served basis after the materials received by the August 4
deadline.
FACULTY RESPONSIBILITIES
- Assembling reserve materials. Because
of staffing limitations, we are not able to retrieve your reserve materials
from the Library stacks, nor can we make photocopies of articles for reserve.
You are responsible for bringing all needed materials to the Circulation Desk
accompanied by a completed Academic Reserve form.
- Copyright compliance. The Library
staff expects all members of the Beloit College community to
comply with US copyright laws. Instructors placing materials on Reserve
are responsible for obtaining authorization from the copyright holder and
for following all applicable copyright regulations for those materials.
- Providing full citations on the
blue form. This helps us help your students. For example, if you only tell
us the chapter title but in class tell students to do the reading by a particular
person, we will have difficulty finding the reading for the students.
- Providing the Library with a list
of course readings with dates they're assigned OR course syllabus. Again,
we ask for this to better help the students. Often they've forgotten the reading
you assigned or have the information garbled. Email or send paper copy to
Deb Lynch, lynchd@beloit.edu.
TIPS
- All material submitted for reserve
needs to be accompanied by an Academic
Reserves form. One form per course, please. Forms are available for
downloading
and hardcopies are available at the Circulation Desk or give us a call (x2230).
Remember to include the course number, section number, and course title on
the form.
- If you miss the August 4 deadline,
remember to assemble reserve materials before the first day of classes; resourceful
students often check out course-related materials early in the semester.
- All reserve materials circulate
for 2 hours (exceptions are made for some AV materials which can circulate
for longer than two hours). Materials circulate overnight unless you specify
"Library use only/no overnight" on the form.
- Arrangement of reserve materials:
In the reserve collection, photocopies are arranged
by author's last name.
Books are arranged by
title.
AV materials, including CDs, videos, and DVDs,
are arranged by instructor's last name on the
rear shelving units of the reserve area.
If students are aware of this order, it makes it easier for library staff
to retrieve reserve materials. Thank you for helping with this process.
- Materials which generally cannot
be placed on reserve: periodicals, reference materials, Archives or other
special collection materials, interlibrary loan materials from other institutions
and rented AV materials.
- You may add or remove materials
from reserve at any time during the semester. For removal, email Deb Lynch
in advance so materials can be removed from the database or are ready for
you.
- The Library cannot be responsible
for personal copies placed on reserve.
- The Library will contact faculty
members when there are any problems with their reserve materials.
