ITMS Multimedia Services

ITMS provides limited multimedia services for individuals affiliated with Beloit College, as copyright law allows. Below is a description of the services offered and guidelines for use of each service.

Duplication – ITMS staff can create an exact copy of an original media disc.
• Single disc/tape duplications could take two weeks or more to complete based upon current work load.
• If ITMS is unable to fulfill a request, we recommend using Sooper Dooper.

Cost:
• $1 per disc for CD
• $3 per disc for DVD (single or dual layer)

Conversion - ITMS staff can convert existing audio or video into a new format.
• Video formats we can convert to and from: DVD, Mini DV, Digital video files (various)*
• Audio formats we can convert to and from: Cassette tape, CD, Digital audio files (various)*
• If ITMS is unable to fulfill a request, we recommend using  Walgreens Photo Lab or World-Import.com.

Cost:
• $2 per tape or disc for video conversion
• $1 per tape or disc for audio conversio
> Prices exclude any media or editing costs (conversion cost + duplication cost = total price)

Wide Format Printing – ITMS staff can print poster-sized documents in full color.
• The ITMS wide format printer can handle documents that are up to 40" wide and up to 56” long.
• In order to preserve fonts and formatting, ITMS prefers PDF format files for printing.
Please follow these instructions for configuring a slide to make a poster in PowerPoint and saving as a PDF. You may review the  Guide to Making Your Poster Print Like You Want it To for assistance.
• Posters can be printed on either glossy or matte paper. Unless otherwise specified, glossy paper will be used for all print jobs.
• If ITMS is unable to fulfill a request, we recommend using Staples.

Cost: 60¢ per linear inch

Proofreading & Reprints - ITMS does not provide a proofing service for posters. Please make sure that your poster looks exactly how you want it before asking ITMS to print it. It is highly recommended that you come to the ITMS office to view the poster on screen before printing is started. ITMS is not responsible for printing mistakes due to problems with the file such as spelling or formatting errors. If your job needs to be reprinted due to spelling or formatting errors, you will be charged full cost for the reprint. ITMS will reprint posters at no additional cost if there was an error in printing not related to the formatting of the file (printer error, computer error, etc.). This will be at the discretion of ITMS staff.

Lamination - ITMS staff offers lamination for small documents.
• The ITMS laminator can handle documents that are up to 11" wide and up to 36” long.
• If ITMS is unable to fulfill a request, we recommend using Staples.

Cost: 50¢ per linear foot

Lamination Warning - There are certain types of paper that may not be able to be laminated properly, such as glossy paper. Construction paper and card stock paper can also cause problems due to the thickness of the paper. ITMS suggests bringing a small scrap of paper to use as a lamination test before laminating an original document. Remember, lamination cannot be removed from an item once it has been processed.

Appointments:

Beloit College students, faculty and staff can schedule an appointment by emailing itms@beloit.edu. Appointments are accepted between the hours of 8:30am and 3:00pm Monday through Friday. We request a minimum of 24 hour advance notice for appointments. This is to ensure that we have sufficient time, staff and supplies available to complete the service request. Current workload and responsibilities of ITMS staff may dictate how quickly service requests can be completed.

Costs:

ITMS charges a small fee for these services to cover the cost of supplies, computer maintenance, and worker time. Charges are listed above in each service. Payment is accepted by department budget code or personal check made payable to Beloit College. Payment is due at the time the project request is submitted.


Work on a project will not begin until payment has been received. If charging to a departmental account, the form must be signed by an authorized faculty or staff member before work can begin. Any charges to college restricted funds or grant monies must be verified with accounting before work can commence. This is in accordance with theTechnology Purchase Policy. Changes to an order will not be accepted once work has commenced. Changes will require the creation of an additional project sheet and appropriate payment.

Service Guidelines:

Copyright Notice - ITMS will not duplicate, convert, edit, record or print any copyrighted material unless the user can provide verifiable written authorization from the copyright holder at the time of the request. Patron signature on the form indicates that they have complied with copyright regulations. Please see the copyright page and FAQs for more information.

Labeling Media - All discs or tapes left for duplication, conversion, or editing must be clearly labeled, including the name of the user before work can begin. ITMS will not be responsible for lost discs or tapes that are not labeled properly and clearly.

Media/File Retention - Please check all orders immediately upon delivery. Any errors with the order must be reported to ITMS within 48 hours of delivery. Due to the high demand for camcorders, recording media, and hard drive space, we cannot guarantee that recordings or files made with our equipment will be retained past 48 hours.

Workload / High Volume Requests - Some projects may be turned down based upon current ITMS workload. This could include large quantity duplications, or conversions, rush projects, complex editing projects, etc. In the event that ITMS will not be able to accept the project, we will direct the user to external companies that offer the desired service.
