Announcing Google Apps for Education at Beloit College

ISR is very pleased to announce the adoption of Google Apps for Education (GAE) at Beloit College. The decision was made to move to GAE in order to provide improved email, calendar and document sharing services.

GAE includes remotely hosted email accessible from any Internet connection, calendaring, shared document storage (thought not for financial, personnel, FERPA, or other sensitive information!), chat, and personal web page creation and hosting options. Although we anticipate that many will like the new mail interface, you may continue to use Outlook after account conversion if you prefer.

ISR began testing in January and have to date successfully converted approximately 50 faculty, staff and students in an "early adopter" phase of the project. Beloit joins peers such as Macalester, St. Olaf and Oberlin who have already migrated to this service. Moving to GAE will eventually allow ISR to decommission the two College email servers, Webmail, the Barracuda spam appliance, the Microsoft Exchange server and the Alumni email forwarding service, allowing resource reallocation to other areas of need.  In order to reallocate in a timely manner the entire campus will be converted to GAE by June 1, 2010.

Faculty and staff are invited to convert to Google at whatever time is convenient with the understanding that all faculty and staff accounts must be converted by June 1, 2010.

Please contact the ISR Help Desk at isrhelp@beloit.edu to start the process. Though there are advantages to having ISR work with your entire department for a full conversion, it is also possible for individuals to convert when ready. At the beginning of June 2009, all student accounts will be migrated to Google (they are receiving a separate email message). With this change, student email accounts will have a format of username@beloit.edu instead of username@stu.beloit.edu. However, measures will be put in place so that if a message is sent to the former format, they will still be delivered. ISR is working on a communication plan to assist students with this process.

At the beginning of September 2009, instead of terminating May graduates' accounts, ISR will work toward offering a lifetime alumni account with the format of username@alum.beloit.edu. Plans will eventually be made to offer Beloit Google accounts to other alumni.
