Faculty/staff directory now available in Portal

Effective Thursday (April 11), the faculty and staff directory previously accessible through WebAdvisor became available in the Portal. Because of the private nature of the directory information, access will be available only through login to your Portal account. Initially, the directory will include only a person’s name, title(s), campus location, and contact information. Each individual has the option to share their personal home address, phone number and/or spouse/partner name by completing and submitting a Portal form to make that information visible in the directory. 

Data for the directory is pulled from employee records in Jenzabar EX.  While multiple reviews of the directory data have been conducted, that does not mean the information is infallible. The human resources office asks that all faculty and staff assist in this effort by verifying their personal data and contacting HR if anything is incorrect. Address and phone numbers can be changed through the Portal by using the process described below.

If you do not routinely use the Portal and are unsure if you have an account, you may access it by going to https:portal.beloit.edu and entering your email user name and password. If you are unable to log in, you may contact the IT Help Desk at isrhelp@beloit.edu to request an account. 

Finding people in the directory:  Once you’ve signed into the Portal, click on the employees tab. On the left side of the employees screen, click on faculty/staff directory. You will find the directory in the bottom half of the screen. Individual names, titles, campus locations, and contact information will be listed. You may search for faculty and staff using names, departments, titles, or locations.  Individuals with multiple titles will be listed once for each title. Clicking on the green icon along the left will expand an individual name to show spouse name, home address, and phone number. Faculty and staff will be required to perform a simple process to release personal information.

Sharing your personal information:  The top half of the directory page includes a directory information request form. Clicking here will open a screen with your personal directory data. Below the data, there are directory display options allowing you to share your spouse name, home address, and/or home phone number. When you make changes to allow sharing information in the Portal, it will not immediately change in the directory. Your submission will be sent to Human Resources for processing in Jenzabar EX and will be visible in the Portal within a day or two. 

Changing your home address or phone:  You can update your address through the Portal by clicking on personal info, listed next to your name on the gold bar across the top of the Portal screen. On the biographical info  tab, click on the Pencil icon to update your personal address or other information. When you make changes to your personal information in the Portal, it will not immediately change in the directory.  Your submission will be sent to Human Resources for processing in Jenzabar EX and will be visible in the Portal within a day or two.
